– Travel beyond 60 miles round-trip will be billed at the current IRS standard mileage rate, calculated from the Mosaic Minds Center primary location to the event site
– Airfare: Economy class for flights under 4 hours; premium economy or business class may be requested for flights over 4 hours (subject to approval and availability). All airfare is non-refundable and must be pre-approved in writing.
– Lodging: Upscale business-class hotel, reimbursed at actual cost or booked directly by conference. Two to three nights lodging may be required depending on conference schedule and travel distance (night before keynote, night of keynote, and potentially night after for early morning travel home).
– Ground transportation: Airport transfers, taxis, rideshare, or rental car reimbursed at actual cost
– Per diem: $75/day for meals and incidental expenses (for days when meals are not provided by conference)
– Baggage fees: Actual costs for checked luggage (1-2 bags)
– All travel, lodging, airfare, ground transportation, baggage fees, and per diem expenses must be preapproved in writing and are not included in professional service fees unless explicitly stated in the contract
