TRAVEL & EXPENSES POLICY:
– Local travel within 60 miles round-trip of the Mosaic Minds Center for Autism & Neurodivergent Learning primary location is included in the service fee
– Travel beyond 60 miles round-trip will be billed at the current IRS standard mileage rate, calculated from the Mosaic Minds Center primary location to the event site
– Lodging reimbursement or direct booking required for multi-day conferences or events requiring departure before 6:00 AM or return after 9:00 PM. Two nights lodging may be required (night before and night of keynote) for optimal preparation and recovery.
– Lodging: Standard business-class hotel, reimbursed at actual cost or booked directly by conference
– Per diem: $75/day for meals and incidental expenses (if meals not provided by conference)
– Airfare (for distances exceeding 300 miles one way): Economy class, non-refundable, must be pre-approved in writing
– Ground transportation: Taxi, rideshare, or rental car reimbursed at actual cost
– All travel, lodging, mileage, airfare, ground transportation, and per diem expenses must be preapproved in writing and are not included in professional service fees unless explicitly stated in the contract
– Payment or reimbursement of approved travel expenses is due within 15 days of invoice

Conference registration: Complimentary conference registration required for keynote speaker.

Scheduling:
State conference keynotes are typically booked 8-18 months in advance as part of conference planning process. Early booking strongly recommended for annual state conferences.

Contract and Agreement:
A speaking agreement contract will be provided outlining all terms, deliverables, payment schedule, cancellation policies, and responsibilities of both parties.

Payment Terms:
– 50% deposit due upon contract signing
– 50% balance due 30 days prior to event
– Travel expenses invoiced separately and due within 15 days
